Who We Are

Solvync is an Odoo ERP consultancy based in Calgary, Alberta, Canada. This scheduling platform at calendar.solvync.com allows you to book meetings with our consultants.

What Data We Collect

When you book a meeting, we collect:

  • Contact information: Name, email address, phone number (optional), company name (optional)
  • Booking details: Meeting type, date, time, timezone, and any notes you provide
  • Custom form answers: Responses to any additional questions on the booking form
  • Technical data: IP address (for rate limiting and security), browser timezone

For paid bookings, payment is processed by Stripe. We do not store credit card numbers. See Stripe's Privacy Policy.

How We Use Your Data

  • To schedule and manage your booking
  • To send confirmation emails, reminders, and cancellation notices
  • To create a Google Calendar event with a Google Meet link for your meeting
  • To create a lead in our CRM system (Odoo) for business follow-up
  • To prevent abuse and ensure platform security

Third Parties

Your data is shared with the following services to fulfil your booking:

  • Google Calendar & Meet: Your name, email, and meeting details are used to create calendar events and video call links
  • Stripe: For paid bookings, your email and payment details are processed by Stripe
  • Odoo CRM: Your contact information and booking details are stored in our CRM for business management
  • Gmail SMTP: Emails are sent through Google's email infrastructure
  • LinkedIn: Our public pages carry the LinkedIn Insight Tag for marketing analytics; LinkedIn may set cookies and receive your IP address and page activity for ad measurement and retargeting

Analytics & Advertising

Our public pages include the LinkedIn Insight Tag, a third-party script that helps us understand how visitors find Solvync and measure advertising performance. It may store cookies in your browser and share your IP address and page activity with LinkedIn. It is not used to make automated decisions about you.

You can opt out of LinkedIn ad tracking in your LinkedIn ad settings, or block it with your browser's privacy controls or a tracking blocker.

Data Retention

  • Completed bookings: Retained for 24 months, then automatically anonymized (including any additional-guest email addresses you added)
  • Cancelled bookings: Retained for 90 days, then automatically anonymized
  • Verification codes: Automatically deleted after 24 hours
  • Abandoned or unpaid checkouts: Deleted within 30 minutes; payment-recovery records within 7 days

Anonymization replaces your personal information (including additional-guest emails) with "[deleted]" while preserving non-identifying booking statistics. Deletion requests also remove pending checkout and verification data, pseudonymize app-owned security/audit records, and create an internal review task for linked Google Calendar, Odoo CRM, or Stripe records where legal or operational retention may apply.

Your Rights (PIPEDA)

Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Request correction of inaccurate information
  • Deletion: Request deletion of your personal information
  • Withdraw consent: Withdraw your consent to data processing at any time

Security

We protect your data with: encrypted connections (HTTPS/TLS), secure session management, rate limiting, email verification before booking, and regular security audits. Our infrastructure is hosted on a dedicated VPS with network-isolated databases.

Changes to This Policy

We may update this policy periodically. Material changes will be communicated via the booking confirmation emails or this page.
